Warehouses & stock control
Know what you hold, where, and what it is worth.
Warehouses#
Where Inventory → Warehouses
Permissions warehouses.view warehouses.create warehouses.edit warehouses.delete
| Field | What it does |
|---|---|
| Name and Code | For example Main Warehouse and WH-01. |
| Branch | Every warehouse belongs to a branch. |
| Phone and Address | Optional contact details. |
| Active | Warehouse is available for stock operations. Inactive warehouses cannot be used on new records. |
Import columns: name, code, branch, phone, address. Deleting a warehouse affects any stock records tied to it, so deactivate instead when in doubt.
Stock adjustments#
Where Inventory → Stock adjustments
Permissions adjustments.view adjustments.create adjustments.edit adjustments.delete
Manual corrections, with a reason recorded for every one. Choose the Product, Warehouse and an Adjustment Type: Add to stock (Increase) or Remove from stock (Decrease), then the Quantity, a Reason (for example “Found extra stock during audit”) and optional notes. The page totals adjustments, increases, decreases and today's activity. Editing or deleting an adjustment corrects stock levels accordingly.
Stock counts#
Where Inventory → Stock counts
Permissions stock-counts.view stock-counts.create stock-counts.edit stock-counts.delete
- Press Start count and choose the warehouse and notes (for example “Monthly count”).
- Press Continue and enter Counted Qty for each product. Leave a product blank to skip it. Only filled items are saved.
- Press Save Count. The count shows System, Counted and the variance for each product.
- Submit the count to post the differences.
A count is Draft, Completed or Cancelled. Only draft counts can be deleted. Import columns: warehouse, notes, product, counted, one row per product per count.
Stock transfers#
Where Inventory → Stock transfers
Permissions transfers.view transfers.create transfers.edit transfers.delete
A transfer moves stock between warehouses in three steps, so stock is never counted twice:
- Create. Choose the product, From Warehouse, To Warehouse, quantity, an optional Shipping Cost and notes (and serial / IMEI numbers where used). This creates a Pending request. No stock moves yet.
- Ship. Deducts stock from the source warehouse. Status becomes In Transit.
- Receive. Adds stock to the destination. Status becomes Completed.
You can Cancel a transfer. If stock already shipped, it returns to the source warehouse. Only pending transfers can be deleted. You can ship, receive or cancel many at once; completed transfers in the selection are skipped. You can edit only shipping cost and notes after creation.
Damaged stock#
Where Inventory → Damage stock
Permissions damage-stock.view damage-stock.create damage-stock.edit damage-stock.delete
Press Record Damage, choose the product, warehouse, Quantity Damaged, a damage category, a reason and notes. Stock is deducted immediately from that warehouse. The page shows the estimated loss value. Manage the lists under Damage categories (for example Handling) and Damage reasons (for example Water damage, Broken in transit).
Inventory period close#
Where Inventory → Inventory period closes
Closing a period saves a snapshot of every product's quantity, unit cost and value as of an end date, with a total inventory value. Closed periods show a lock. Reopen keeps the snapshot but signals that the period is no longer final. Delete permanently removes the snapshot. Import columns: period_end_date, notes.
Costing method#
Where Settings → Inventory defaults
| Method | How cost of goods sold is worked out |
|---|---|
| FIFO (first in, first out) | Oldest stock is sold first, so cost follows real purchase order. Best for most shops. |
| LIFO | Newest stock is costed first. It is not allowed under IFRS, so use it only if your accountant asks. |
| Average | Every unit costs the running average. Simple and stable when prices change often. |
Changing the method affects costs from now on. Past sales keep the cost they were recorded with.
Stock rules#
| Field | What it does |
|---|---|
| Allow selling below zero | Lets a sale go through when stock shows zero. |
| Warn before expiry | Batches expiring within this many days are flagged. |
| Dead stock after | Flags products that are in stock but have not sold for this long. |
| Track stock | Counts quantities and warns when low. Switch off for services. |
| Batches & expiry, Serial / IMEI | Tracking modes for food and medicine, and for phones and electronics. |
| SKU numbering | Prefix, separator and digits for automatic product codes. The page shows the next code. |
| Low-stock alert at | The default alert quantity for new products. |
